Pet insurer PetSure saw rapid growth and needed a solution to support their workforce and reduce manual HR admin.
With a rapidly scaling workforce, sophisticated compliance requirements, outsourced training, and an overly complex onboarding process, PetSure sought a modern HR solution.
PetSure, a leading pet insurer, was facing roadblocks in keeping pace with significant employee growth. The company’s complex HR processes, complete with multiple touchpoints, were struggling to support a workforce that had rapidly grown to over 350 staff.
The challenges
PetSure’s HR Advisor Ariauna Sanis sat down to chat with us about their lead up to implementing ELMO and the kinds of pressures they were looking to relieve.
When PetSure’s workforce doubled from 150 to over 300 in a year and a half, it became immediately apparent that they required a more sophisticated solution to many of their HR processes.
“Initially it was definitely to do with growth and also compliance” says Ariauna, “being a licensed insurer, there are a lot of regulations that we need to meet, not just in how we trade but also in how we operate internally, including mandatory learning compliance.”
“We really needed to streamline all of our processes and ensure that we had the right approvals and processes in place to remain compliant, whilst providing a fluid digital people experience.”
In a heavily regulated industry, employee compliance is mandatory. Prior to implementing ELMO, this compliance training was outsourced to another company and was recorded and managed manually, which increased costs and complexity while reducing visibility and creating mountains of legwork.
Outside of compliance, this theme of hands-on processing and multiple touchpoints was present in many HR functions including recruiting, onboarding, and document management.
“I’ll give you an example”, says Ariauna, “just to recruit a role, you had to go to the intranet and download a form. You had to complete the form, get your manager to sign off, get finance to sign off, and then email it to start recruitment. It was all via email. So, it was chaos.”
“And then we had all of this complexity because we didn’t have a centralised onboarding process.” says Ariauna, “Trying to raise a ticket to get somebody set up meant you had to cc in nine different inboxes, whether it be IT or facilities or payroll or our workforce planners. Just trying to get someone set up was a nightmare.”
Amid this complex web of emails and approvals, there also lay a document storage issue that required centralisation and modern learning management software (LMS). As Ariauna explains, “a lot of things were saved on a drive rather than in employee profiles, such as mandatory learning completion. That had to change.”
The solution
To conquer these hurdles, rid themselves of tedious legwork, and futureproof their operations, PetSure selected a comprehensive suite of ELMO modules. Their new framework includes HR Core, Recruitment, Onboarding, Learning Management, Performance Management, and Analytics.
With a full quiver of ELMO solutions in play, Ariauna and PetSure have been able to radically reduce manual interventions, ensure mandatory compliance, automate complicated workflows, and centralise document management. All while ensuring a streamlined and engaging digital experience for their people.
Onboarding, which previously involved back-and-forth communication via email, became automated, with workflows assigned and completed in seconds. Additionally, compliance training was brought in-house and simplified with built-in notifications and tracking, eliminating reliance on external providers and spreadsheets.
The benefits
One of the standout improvements for PetSure was bringing compliance training in-house with ELMO’s LMS solution. Compliance management became more transparent and manageable, with automatic tracking of mandatory training and approvals.
As Ariauna explains about their previous compliance training, “we didn’t have an internal LMS, so we would pay an external provider to create and manage our compliance training and would review the relevant training on an Excel spreadsheet saying, ‘yeah, this person hasn’t done it.’ And it was just a lot of manual follow up. Whereas ELMO has system notifications, due dates, you can easily assign it to everybody, and it’s internal. So, we own that process now.”
Onboarding new hires was another complexity that’s been significantly simplified. What was once a time consuming process, now takes just 30 seconds to assign workflows, drastically reducing time-to-productivity for new hires.
Document management was integrated directly into employee profiles, eliminating the chaos of scattered files. Feedback from the team highlighted greater visibility, improved consistency in HR processes, and enhanced overall employee experience. As a result, PetSure is better equipped to scale efficiently while maintaining regulatory compliance.
