Your data never trains AI models

Each customer operates in a logically separated environment with dedicated databases. Your data is never shared with other customers, third parties, or used to train any AI model, including ELMO’s own.

Hosted in Australia

All customer data is securely hosted in AWS data centres located in Australia, ensuring compliance with local data residency requirements.

Enterprise-grade security

We hold ISO 27001:2022 certification and apply AES-256 encryption at rest, TLS/SSL in transit, role-based access controls, continuous threat monitoring, and independent annual penetration testing.

Regulatory compliance

We comply with General Data Protection Regulation (GDPR, the EU’s standard for data protection) and local privacy laws, and align with the Australian Government’s Voluntary AI Ethics Principles. As regulation evolves, so do we.

AI Governance

We align with ISO/IEC 42001 standards for the international standard for AI management systems, and are pursuing formal certification in 2026.

Every AI feature is opt-in. Your administrators control which features are active, who has access, and can disable them at any time.

Our AI content editor is built in to get to work whenever you’re ready. Look for the ‘AI’ button on your editor to get started.

ELMO Assist is available for Admins. Chat to Elmo assist for help centre support whenever you need it. You simply open the pop-up window when you’re logged into the product.

Yes. AI features in ELMO are completely optional. You can disable them at any time in Settings, and your core workflows will continue to operate as normal. This means you can adopt AI only if and when it adds value for your organisation.

Not at all. It uses Natural Language Processing (NLP) to turn plain-English questions into visual charts.

Security & Data

No. Your company’s data and content are never used to train ELMO’s or any third-party AI models. All data stays securely within your ELMO environment and is only processed to provide the AI features you choose to enable.

ELMO follows privacy-by-design principles and complies with GDPR and local privacy laws. Customer data is securely hosted in AWS data centres located in Australia. Each customer has a separate database, providing strong segregation of information. Encrypted backups are created daily with regular integrity checks to ensure reliability.

How does ELMO ensure the security of my data?

All the AI features in ELMO have the same rigorous security protocols applied as the rest of our products, including ISO 27001:2022 Certification and secure engineering principles. We apply a risk based, risk based, multi-layered security approach, which includes:

  • Encryption: AES-256 encryption at rest; TLS/SSL in transit.
  • Access controls: Strict role-based permissions, multi-factor authentication, and quarterly reviews of privileged accounts.
  • Monitoring & alerts: Continuous threat monitoring, intrusion detection/prevention, and centralised logging.
  • Testing & audits: Independent annual penetration testing, ongoing vulnerability scans, and ISO surveillance audits.
  • Incident response: A formal Data Breach Response Plan, with notification to customers within 48 hours of a confirmed notifiable incident.
  • Trusted hosting: Data is hosted on AWS Australia, within environments that meet globally recognized security and compliance standards.

Staff personal and private information remains protected through defense-in-depth architectures that ensure only authorised personnel can access specific data based on their role and business need. Multi-layered security ensures staff data is encrypted, access-controlled, and continuously monitored for threats.

No. ELMO does not use customer data to train AI models. Customer data is fully isolated between tenants, never shared with public foundation models, and where external AI providers are used, contractual controls enforce zero data retention. All AI processing is hosted in Australian AWS regions, compliant with AU and NZ privacy legislation. AI features use RAG (Retrieval-Augmented Generation) to ground responses in verified customer data rather than generating from memory, and the entire framework is governed under ISO 42001 and the Australian AI Ethics Principles.

Compliance

Yes. Transparency is a core pillar of our ISO 42001 alignment. Every AI-generated draft, whether a job description or a performance summary, is clearly flagged. HR administrators can see the original AI suggestion and track the human edits made before final approval.

ELMO is implementing an AI Management System in line with the international ISO/IEC 42001 standard and is committed to upholding Australia’s AI Ethics Principles. For our New Zealand customers, data processing occurs within Australian AWS regions aligned with the NZ Privacy Act 2020, and AI features are governed by the same ethical principles, design guardrails, and human-in-the-loop controls applied across the platform.

AI hallucinations occur when language models generate plausible-sounding but factually incorrect information, essentially ‘making things up’ when they don’t have the right answer.

We use RAG (or Retrieval-Augmented Generation) to ground AI responses in verifiable, factual data. Instead of answering from memory, the system retrieves relevant data from our verified database to construct an answer.

ELMO’s platform is designed to give you control over your data and decisions. You choose how AI outputs are used in their decision-making. This “human-in-the-loop” approach helps reduce bias and ensures that critical decisions remain under your governance. It also aligns with ISO/IEC 42001 standards for the responsible use of AI.
